TaskWrangler was built on it. ### Calendar sync that duplicates or drifts A third-party sync creates two events, moves one and leaves the other. TaskWrangler owns the deadline event through a single trigger, so there is exactly one event and it follows the task. ### Email 'linked' as a hyperlink Most integrations store a link back to the message. TaskWrangler imports the thread content and files the attachments to the matter's Drive folder, deduplicated. ### Attachments in three places Inbox, download folder and the practice management system. With TaskWrangler the matter's Drive folder is the one place, and the add-on files to it from Gmail. ### Connectors that fail silently No Zapier, no middleware. The add-ons talk to TaskWrangler directly as the signed-in user, and any error shows on the record it affected. ### Documents copied out of Drive Some systems copy your files into their own storage. TaskWrangler leaves documents in your Drive and stores the link, the permissions and the matter. ### Keys handed to a vendor Your Workspace administrator approves calendar access once in the Google Admin console. No key file changes hands. ### Per-connector and per-integration fees Every Google Workspace integration is included in both plans. ### AI that cannot see your Drive Counsel reads Drive as the signed-in attorney, keeps filings and correspondence searchable, and writes results back as Google Docs, Sheets and Slides. It is installed in it. ### Court deadlines and calendaring Deadlines are first-class records, not calendar entries with a note. ### Email and correspondence Gmail stays your mail client. TaskWrangler makes the matter the system of record. ### Documents and agreements Documents stay in Google Drive. TaskWrangler adds the matter, the permissions and the signature. ### Time, billing and payments Time to invoice to cash without leaving the matter. ### Trust and firm accounting A real double-entry ledger, with trust accounting built in rather than bolted on. ### Client portal and messaging Clients see their own matter, and nothing else. ### Dashboards and reporting Twelve dashboards, each built for a job. ### Security and administration Tenant isolation, roles and audit trails enforced at the database layer. ### Platforms and API One codebase, every device your firm uses. Optional ## Counsel, a review-first legal AI Counsel reads your matters, filings and correspondence and proposes work: a morning briefing, deadline proposals, drafts from your own templates, summaries in Gmail. Nothing becomes a record until a named person accepts it, and every date is computed by code, not by the model. How Counsel works - Proposals, never actions. No Counsel tool writes a deadline, a task, a time entry, a document or an email on its own. Every output lands in a review queue as a proposal, and a named person accepts it before it becomes a record. - Rules do the date math. When Counsel proposes a deadline it picks and cites the rule. The date itself is calculated by a rules engine that knows the federal counting rules, court holidays and your court closures. A date guessed by the AI never reaches the docket. - Your permissions are its permissions. Counsel reads Drive as the signed-in attorney, never as a system account. It cannot see a document you cannot see, and it cannot open the books unless you could. - Unreviewed drafts stay out of the client file. Accepted drafts are written to the attorney's private Counsel folder in Drive, not the shared matter folder, until someone moves them. Pricing ## Two plans. Fixed monthly price per seat. Questions ## Frequently asked Plain answers, including the things we do not do yet. All questions. What is TaskWrangler.ai? TaskWrangler.ai is law practice management software for firms that run on Google Workspace. It handles matters, tasks, court deadlines, time and billing, trust and firm accounting, agreements with e-signature and a client portal. It integrates with Gmail, Google Calendar, Drive, Docs, Sheets, Slides and Contacts through native add-ons. An optional AI assistant named Counsel is available as a fixed monthly per-seat add-on. How much does TaskWrangler cost? Standard Seat - Monthly is $54.99 per seat per month, or $598 per seat per year. AI Premium Seat is $129.95 per seat per month, or $1,398 per seat per year. A seat is a staff login. Client portal users are free and unlimited. Each Counsel AI seat includes $15 of AI usage a month; Counsel is never billed per question, and usage beyond the included amount is billed at cost, with no markup only if your administrator turns that on. Is there a free trial, and do I need a card to start? Yes. Both plans start with a 14-day free trial. You add a bank account or card at sign-up so service continues without interruption, and the first charge happens only when the trial ends. Cancel from Admin → Subscription & Billing before then and nothing is charged. What happens when we use up the included AI usage? Each Counsel AI seat includes $15 of AI usage per month, pooled across the firm's Counsel seats and measured at the published model rates. Administrators see the running total under Admin → Subscription & Billing and in Counsel settings. When it is used up, Counsel pauses for the rest of the month by default and every other part of TaskWrangler keeps working. If your firm would rather keep going, an administrator turns on usage billing with one switch; usage beyond the included amount then appears as a separate line on the next invoice, billed at cost, with no markup. You can also set your own lower monthly ceiling at any time. Can we bill Counsel AI usage to our clients? Yes, if your firm chooses to. Counsel attributes the cost of every matter-scoped request to that matter, and the Usage screen shows AI cost by matter. Turn on client pass-through in Counsel settings and set your own markup (or none). After each month closes, TaskWrangler adds one pending expense entry per matter for that month's AI usage, described the way you chose, with the amount already marked up. A person reviews and approves it before it can appear on an invoice, the same as any other disbursement, and firms that would rather absorb the cost simply leave pass-through off. Whether and how AI costs may be passed to clients is governed by your jurisdiction's rules of professional conduct and your engagement agreement; TaskWrangler gives you the record and the switch, and the decision stays with the firm. Can some people in the firm have Counsel AI and others not? Yes. Every staff member is either a Practice seat ($54.99) or a Counsel AI seat ($129.95). An administrator switches a person between the two with one toggle, and the bill adjusts pro rata. Client portal users are never seats. --- # Pricing: Fixed Per-Seat Plans With and Without AI | TaskWrangler.ai URL: https://www.taskwrangler.ai/pricing/ Home › PricingPricing # Fixed monthly pricing per seat, with or without AI Two plans. A payment method (bank account or card) is collected at sign-up and nothing is charged until the trial ends. Changes are prorated. - Pay by bank transfer (ACH) or card. Sales tax is calculated at checkout where it applies. - Referral program: when a firm you refer completes its first paid month, you receive a one-time $49 credit for every seat they pay for, and they get one extra free month. - Fixed monthly price per seat. Each Counsel AI seat includes $15 of AI usage every month, measured at the published model rates and pooled across the firm's Counsel seats. That covers typical daily use; Counsel is never billed per question. - When the included usage is used up, Counsel pauses for the rest of the month. An administrator can instead turn on usage billing under Admin → Subscription & Billing; usage beyond the included amount is then billed at cost, with no markup on the next invoice. A firm-level monthly ceiling is available either way and is checked before every request. - Pass it through if you like: Counsel records what each matter's AI work cost. Turn on client pass-through in Counsel settings, set your own markup, and each month's usage lands on the matter as a pending expense for you to review and invoice like any other disbursement. - Unlimited matters, clients, tasks, time entries and linked documents. - Month to month. Cancel any time. Annual plans are billed up front and save two months. - Your documents stay in your Google Drive and your mail stays in Gmail. TaskWrangler stores records, links and indexes, not copies of your Drive. - Firms with more than 50 seats, or that need a data-processing addendum reviewed by their own counsel, should contact us before ordering. ## What is in each plan Every row is a shipped feature of the TaskWrangler application. A guided onboarding wizard opens new matters consistently. ### Tasks that carry the details Status, priority, category, assignee, matter, due date, dependencies, tags, estimated and actual hours, and a field-level audit trail of every change. ### Kanban and calendar views Drag tasks between columns or see them on a calendar. Deep links open a task from any email or chat message. ### Assignment acceptance Assignees accept or decline work with a reason. Supervisors see it in their direct-reports rail and get notified. ### Recurring tasks Monthly filings, weekly check-ins and annual reviews regenerate themselves on schedule. ### Workflow templates Reusable step lists with delays and dependencies. Instantiate a template and the task set appears on the matter. ### Intake pipeline Intake forms, a pipeline view, follow-up actions and configurable intake settings. Estate planning intake ships as a ready-made app. ### Global search One search box across tasks, matters, clients and agreements. Results open the record. ### At-risk work flagged Tasks that are slipping are flagged from their due dates and status, with no AI involved. ## Google Workspace, natively TaskWrangler is not synced to Google Workspace. It is installed in it. ### Gmail add-on Open any message and see the client, matter and open tasks. Link the email, import the whole thread with attachments, log time, create a task, a matter or a client without leaving Gmail. ### Google Calendar add-on Open an event, link it to a matter, create a task from it, log time, view today's tasks and upcoming deadlines. ### Automatic deadline sync Set a due date and an all-day event appears on the assignee's Google Calendar. Move it and it moves. Clear it and it is removed. Reassign it and it changes calendars. If a calendar update ever fails, the task says so. ### Drive, Docs, Sheets and Slides The add-on also opens inside Drive, Docs, Sheets and Slides so you can link the file you are looking at to a matter and log the work. ### Google Docs templates Engagement letters, retainers and NDAs live as Google Docs with merge fields. TaskWrangler detects the fields, fills them and produces the merged document. ### Google Contacts Search, create and update your Google Contacts from inside TaskWrangler. ### Sign in with Google Staff sign in with their Google account, confirm with a code on their phone, and are signed out after 30 idle minutes. ### Gemini for Google Workspace Ask Gemini to find a client, matter, contact or task, or to create a task, and it works through TaskWrangler using your own Google identity. ### No keys handed to a vendor Calendar access is granted once by your Workspace administrator. There is no password file or key for anyone to store, rotate or lose. ## Court deadlines and calendaring Deadlines are first-class records, not calendar entries with a note. ### Structured deadlines Deadline type (statute of limitations, filing, response, discovery, expert disclosure, motion, hearing, trial, mediation, appeal), trigger event and date, rule source, calculation basis, jurisdiction, priority and tolling periods. ### Reminders Per-deadline reminder windows and a scheduled sweep that emails the responsible people. ### Source linkage A deadline can point at the filing it came from, and records whether it was manually overridden. ### Calendar events on matters Create and list Google Calendar events from the matter, with firm-level calendar settings. ## Email and correspondence Gmail stays your mail client. TaskWrangler makes the matter the system of record. ### Read and send from the matter List recent mail, open a message, compose with your own Gmail signature and send, all from inside TaskWrangler. ### Import threads, not links A linked thread is stored as content on the matter, with attachments filed to the matter's Drive folder and duplicates skipped automatically. ### Correspondence view Grouped, chronological correspondence on every matter. ### Scheduled summaries Daily, weekly and monthly task summaries to supervisors; pending-hours reminders; assignment and participant notifications. ### Email templates Firm-level templates for client statements, invoices and notifications, with an admin editor. ### Wrong-recipient guard Invoices and statements will not go to an address that is not on the client record unless you confirm it. ## Documents and agreements Documents stay in Google Drive. TaskWrangler adds the matter, the permissions and the signature. ### Drive from the app Browse folders, upload, download, export to PDF, list shared drives and manage sharing permissions. ### Agreements Engagement letters, retainers and NDAs from Google Docs templates. Multi-client agreements and manual upload of pre-signed copies are supported. ### E-signature Clients sign in the browser. The signed document syncs to Drive and a scheduled sweep confirms signature status. ### Attachments on tasks Attach Drive files, photos or uploads directly to a task. ## Time, billing and payments Time to invoice to cash without leaving the matter. ### Timers and entries Live timers on tasks, manual entries, expenses, billable and non-billable flags and per-entry rates. ### Approval workflow Supervisors approve or reject hours with notes before billing. ### Hourly and flat fee Per-task billing type, including flat fees with their own billed-at tracking. ### Invoicing Billing reports, a billing workflow screen, batch invoicing, invoice PDFs and resend. ### Online payments LawPay charges, payment links and a hosted payment page. Payments post to the ledger immediately and a client can never be charged twice for the same link. ### Bank feeds Plaid account linking, transaction import and an import decision portal. ### Client statements Scheduled overdue reminders and client statements from your templates. ## Trust and firm accounting A real double-entry ledger, with trust accounting built in rather than bolted on. ### Trust accounting Trust accounts, trust transactions, trust fund requests, a trust audit log and nightly balance checks. ### General ledger Chart of accounts, journal entries, account ledgers and accounting periods with period close. ### Reconciliation Bank reconciliation with transaction splitting. ### Payables Vendors, vendor contracts, bills and bill payments. ### Financial reports Profit and loss, balance sheet, trial balance, cash flow, AR aging, client billing, matter profitability and trust summary, with saved report configurations. ### Exports CSV and PDF export of every report. ### Access control Only bookkeepers, administrators and staff you specifically authorize can open the accounting screens. ## Client portal and messaging Clients see their own matter, and nothing else. ### Client portal Clients view and accept tasks, see invoices, pay online, request a payment link, view and upload documents and update their contact details. ### Secure messaging Two-way messaging between client and staff, with a staff inbox for all client conversations. ### Documents to and from Drive File a portal upload to Drive; share or revoke Drive files to a client. ### Internal messaging Staff conversations inside TaskWrangler, tied to the work. ## Dashboards and reporting Twelve dashboards, each built for a job. ### Dashboards Case overview, cases, clients, prospects, my time, workload, firm management, firm analytics, accounting, banking, billing and payments, invoicing and AR, and reporting. ### Configurable layouts Switch dashboards and rearrange them per user. ## Security and administration Tenant isolation, roles and audit trails enforced at the database layer. ### Roles Administrator, attorney, paralegal, bookkeeper, client and case contact, with per-matter read, upload or full permissions. ### Two-step verification A code sent to the user's phone at sign-in, with prompts to enroll. ### Firm isolation Each firm's data is walled off from every other firm's at the database level, and that wall is tested automatically. ### Audit trails Who changed what and when, on tasks, matters, trust transactions, AI activity and outside connections. ### Deletion requests Data deletion requests are logged and reviewed by an administrator before anything is removed. ### Credentials and logs Connections to LawPay, Plaid and Anthropic use credentials kept in Google's secure vault, and client details are scrubbed from system logs. ## Platforms and API One codebase, every device your firm uses. ### Apps Web, iOS, Android, macOS, Windows and Linux. Mobile and desktop apps keep a local cache for reading when the connection drops. ### Developer API Your IT provider or a consultant can connect other tools to matters, clients, tasks and time entries, with access you grant and can revoke. ### Custom intake apps Build your own intake forms and checklists without code. Estate planning intake comes ready to use. --- # Law Practice Management Built Inside Google Workspace | TaskWrangler.ai URL: https://www.taskwrangler.ai/google-workspace/ Home › Google WorkspaceGoogle Workspace # Practice management for law firms that run on Google Workspace TaskWrangler installs as Google Workspace add-ons for Gmail, Calendar, Drive, Docs, Sheets and Slides, signs you in with Google, files documents to your Drive and puts deadlines on your Google Calendar. ## Ten questions to ask any vendor about their Google Workspace integration Ask us too. Our answers are on this page and in the FAQ. - Is the Gmail integration a native Google Workspace add-on that appears in the message side panel, or a browser extension? - When I link an email, is the message content stored on the matter, or only a link to Gmail? - Where do attachments go, and what happens when the same attachment arrives twice? - If a task's due date changes, does the calendar event move, or does a second event appear? - Does calendar sync go through a third-party connector, and who is notified when it fails? - Are my documents copied into the vendor's storage, or do they stay in my Drive? - Does the vendor hold a key file or password for my Workspace domain? - Are Workspace integrations priced separately from the base plan? - Can the AI features read the documents in my Drive, and does it use my permissions or its own? - Does the AI write records automatically, or does a person accept each one? ## Setup for a Workspace administrator - Install the TaskWrangler add-on for your domain from the Google Workspace Marketplace listing we provide, or let users install it individually. - Approve calendar access for deadline sync once in the Google Admin console. There is no key file to download or store. - Users sign in with Google and enroll a phone second factor. - Link matters to their Drive folders. Existing folders stay where they are. The add-on asks only for the Google permissions it needs and does not change them after install, so your staff are never asked to re-approve it. --- # Counsel AI: Review-First Legal AI for Law Firms | TaskWrangler.ai URL: https://www.taskwrangler.ai/counsel-ai/ Home › Counsel AICounsel AI # Counsel: a legal AI that proposes, and a lawyer who decides Counsel is included in the AI Premium Seat plan at $129.95 per seat per month, fixed. It lives in your matters, your morning and your Gmail. Every output is a proposal until a named person accepts it. ## Five rules Counsel is built on ### Proposals, never actions No Counsel tool writes a deadline, a task, a time entry, a document or an email on its own. Every output lands in a review queue as a proposal, and a named person accepts it before it becomes a record. ### Rules do the date math When Counsel proposes a deadline it picks and cites the rule. The date itself is calculated by a rules engine that knows the federal counting rules, court holidays and your court closures. A date guessed by the AI never reaches the docket. ### Your permissions are its permissions Counsel reads Drive as the signed-in attorney, never as a system account. It cannot see a document you cannot see, and it cannot open the books unless you could. ### Unreviewed drafts stay out of the client file Accepted drafts are written to the attorney's private Counsel folder in Drive, not the shared matter folder, until someone moves them. ### Source material is evidence, not instructions Every document, email and note is wrapped as untrusted content. If a document tries to instruct the model, Counsel reports that as a fact about the document. ## What Counsel does All of the following is shipped and available today. ### Morning briefing At the hour you choose, Counsel sweeps tasks, court deadlines, calendar, matter health, inbox, commitments made in correspondence, timekeeping, trust and receivables, client silence and portal requests, then writes one ranked briefing. Follow-ups escalate over days and close themselves when resolved. If the AI is unavailable, the facts still arrive: the overdue list, the deadlines and the follow-ups are assembled without it. ### Counsel in Gmail From the add-on card: summarize the thread, draft a reply, triage, get matter status or ask a question. Proposals are accepted from the card after a privilege confirmation. ### Court filing analysis Upload a filing and get the deadlines it creates, each with the verbatim text it came from, plus Q&A over the document. Deadline suggestions arrive pre-checked but unwritten. ### Drafting from your templates Counsel reads the merge fields in your Google Docs templates and fills the approved document instead of writing from memory. Unknown fields stay as visible placeholders. ### Google Docs, Sheets and Slides output Drafts become real Google Docs with headings and formatting. Spreadsheets carry real formulas for derived figures. Slide decks include speaker notes. ### Redlines, chronologies, privilege logs Proposed edits show exactly what text is replaced. Chronologies and privilege logs are assembled from records the firm already holds. ### Reads the files your firm actually has Google Docs, PDFs, and Word, Excel and PowerPoint files in your Drive, including the older .doc, .xls and .ppt formats. If a file cannot be read in full, Counsel says so rather than quoting half of it. ### Semantic search and OCR Filings, notes and linked email are indexed automatically. Scanned PDFs, faxes and photographed exhibits get a real, quotable text layer. ### Intake evaluation A conflict check against your existing clients and parties runs first and blocks the rest if it finds one. Then Counsel scores the intake and recommends accept, decline or refer. ### Email to tasks Read an email and suggest tasks with context. You confirm before anything is created. ### Billing help Billing-readiness checks, time-entry triage, proposed time narratives, rate suggestions and trust-anomaly checks. All read-only against the ledger. AI cost is tracked per matter, and firms that choose to can pass it through to clients as a monthly expense entry at their own markup, reviewed before it is invoiced. ### Citation checking Cited authorities are extracted and mechanically classified as verifiable or not. Unverified authorities are listed on the proposal before you accept it. ### Hearing and deposition prep Prep packets assembled from the matter's own records, delivered with the briefing. ## Governance built in Consent gate A firm must explicitly accept the data-handling disclosure. Until then every AI endpoint refuses. Two-layer privilege scan Nine categories (attorney-client, work product, common interest, protective order, settlement, sealed, health information, trade secret, confidential markings) are scanned on the device before anything leaves it, and again on the server. Secret detection Social security numbers, payment cards, private keys, API keys and bearer tokens are blocked before a request is sent. Included usage and spending cap Every Counsel seat includes a monthly amount of AI usage. When it is used up Counsel pauses until the next month, unless the firm has chosen to pay for more, in which case the extra is billed at the published usage rate. A firm-level monthly ceiling can be set on top. Both are checked before every request, and the Usage screen shows where the firm stands. Full activity log Every Counsel exchange records who asked, which matter, which model, what it looked at, what it cost and whether it declined. Administrators see usage and activity screens and an AI ethics audit view. Retention sweep Conversation transcripts are purged on a schedule you control. ## Models and where data goes Work | Model | Drafting, review, redlines, deadlines, chronology, research, briefing | Claude Opus 5 (Anthropic) | Intake, email, billing, narratives, digests | Claude Sonnet 5 (Anthropic) | Triage | Claude Haiku 4.5 (Anthropic) | Document search index | Gemini Embedding (Google) | Models are called from TaskWrangler's servers in Google Cloud, never from your browser. Your administrator can choose which model handles which kind of work, within published limits. ## What Counsel does not do - No client-facing AI. The client portal has no AI assistant. - No automatic filing, sending or docketing. Every action is a human decision. - No AI-guessed dates. Counsel is a tool used under a lawyer's supervision. It does not give legal advice and it does not replace the judgment required by your rules of professional conduct. --- # Security, Data Handling and Professional Responsibility | TaskWrangler.ai URL: https://www.taskwrangler.ai/security/ Home › SecuritySecurity and ethics # Security controls we have, and claims we do not make TaskWrangler runs on Google Cloud with each firm's data walled off from every other firm's, role-based access, two-step sign-in and audit trails. This page lists what is in place today and what is not, so your firm can make its own reasonable-efforts judgment. ## Controls in place ### Roles Administrator, attorney, paralegal, bookkeeper, client and case contact, with per-matter read, upload or full permissions. ## Data location and handling - Application data is stored in Google Cloud data centers in the United States and encrypted at rest by Google. - Your documents remain in your Google Drive. TaskWrangler stores links, permissions and, for Counsel, a search index of text you have chosen to index. - Counsel sends requests to Anthropic from TaskWrangler's servers in Google Cloud. Credentials are kept in Google's secure vault, never in the app. Document search uses Google's embedding model. - Transcript retention for Counsel conversations is a firm-level setting with a scheduled purge. - Deletion requests are recorded and reviewed by an administrator before anything is removed. ## What we do not claim - No SOC 2, ISO 27001 or HIPAA attestation of our own yet. Google Cloud and Firebase hold theirs; we will publish ours when it exists. - No application-layer encryption beyond Google's encryption at rest. - No data-residency options outside the United States. - No client-facing AI assistant. If your firm needs a data-processing addendum or a security questionnaire completed, email info@mattermouth.com. We answer them ourselves, in writing. ## Professional responsibility and TaskWrangler The rules below are the ones firms most often review before adopting cloud practice management and AI tools. This is information about how TaskWrangler's controls relate to them, not legal advice, and it does not substitute for your own analysis under your jurisdiction's rules, including the New Hampshire Rules of Professional Conduct. ### Competence (Rule 1.1, Comment 8) Lawyers keep abreast of the benefits and risks of relevant technology. TaskWrangler documents exactly what Counsel does and does not do, publishes its model list, and logs every AI run so you can explain it. ### Confidentiality (Rule 1.6) Reasonable efforts to prevent unauthorized disclosure. Controls: firm-level data isolation, per-matter permissions, two-step sign-in, automatic sign-out, firm consent before any AI use, privilege screening on your device, blocking of account numbers and passwords, and a private working folder for unreviewed drafts. The New Hampshire Bar Association Ethics Committee's advisory opinion on cloud computing (2012-13/4) describes the diligence expected when using cloud services; review it with your own facts. ### Safekeeping property (Rule 1.15) Trust accounts, trust transactions and a trust audit log are separate records with nightly balance checks. Reconciliation reports export to PDF for your files. Your firm remains responsible for the reconciliation and the records. ### Supervision of nonlawyer assistance (Rules 5.1 and 5.3) Counsel never acts on its own. Every proposal is reviewed and accepted by a named person and that acceptance is logged. ABA Formal Opinion 512 (2024) on generative AI discusses the supervision, confidentiality and fee considerations most firms review before adopting an AI tool. ### Communications about services (Rule 7.1) This site is held to the same standard we expect of a lawyer's advertising: no false or misleading statements. We do not claim certifications we do not hold, features that are not shipped, or results we cannot show. --- # Switching to TaskWrangler From Clio, MyCase, PracticePanther or Smokeball | TaskWrangler.ai URL: https://www.taskwrangler.ai/switching/ Home › SwitchingSwitching # Moving to TaskWrangler from Clio, MyCase, PracticePanther, Smokeball or spreadsheets Firms on Google Workspace usually switch for one reason: the integration between their practice management system and Gmail, Calendar or Drive stopped being worth the trouble. Here is what a move looks like and what you keep. ## What moves, and how Matters, clients, tasks and time entries Loaded from your current system's export with our import tools. We run the import with you during onboarding and review the result before go-live. Documents Nothing moves. If your files are already in Google Drive, matters are linked to the existing folders. If they are in a vendor's storage, you export them to Drive once and link. Email Gmail is the archive. Historical threads are imported to matters from the Gmail add-on, one thread at a time, with attachments filed to Drive and duplicates skipped. Calendar Remove the old sync first. Then TaskWrangler creates one deadline event per task due date on the assignee's Google Calendar and keeps it current. Trust and accounting Opening balances are entered as journal entries in an opening period. Your bookkeeper reconciles the first month against the bank statement in TaskWrangler before closing the old ledger. Agreements Your engagement letter and retainer templates become Google Docs with merge fields. Pre-signed agreements can be uploaded as signed copies. ## What you keep - Gmail, Google Calendar, Drive, Docs, Sheets, Slides and Contacts, exactly as they are - Your Drive folder structure and sharing permissions - Your Google accounts and, if you use it, your Workspace two-step verification policy - LawPay for payments and your bank feeds through Plaid - Your existing engagement letters and retainer language ## Ten questions to ask before you switch to anything - Is the Gmail integration a native Google Workspace add-on that appears in the message side panel, or a browser extension? ## A typical four-week move ### Week 1 Sandbox firm, add-on install, Workspace admin grants calendar delegation, roles set up, templates converted to Google Docs. ### Week 2 Import of matters, clients, tasks and open time from your export. Drive folders linked. Review with your staff. ### Week 3 Opening accounting balances entered. Trust accounts reconciled to the bank. Client portal invitations drafted. ### Week 4 Old calendar sync removed, go-live, first morning briefings for Counsel AI firms, and a check-in call. Timelines vary with the size and quality of the export. We tell you before you sign if yours will take longer. --- # FAQ: Pricing, Google Workspace, Counsel AI, Security | TaskWrangler.ai URL: https://www.taskwrangler.ai/faq/ Home › FAQFAQ # Questions law firms ask before choosing TaskWrangler Direct answers, including where the product stops. If a question is missing, email us and we will add it here. What happens if a payment fails? Stripe retries for two weeks and we e-mail your administrator. If the balance is still unpaid after 14 days the account moves to read-and-export mode: everyone can sign in, read every record and export, but nothing can be created or edited until the balance is settled. Records are never deleted because of a payment problem. A canceled firm keeps read-and-export access for 90 days. How does the referral program work? Every firm has a referral code under Admin → Subscription & Billing. A new firm that signs up with your code gets one extra free month. When they complete their first paid month you receive a one-time $49 credit for each seat they are paying for, applied to your next invoice. Who counts as a seat? Attorneys, paralegals, bookkeepers and administrators who sign in to TaskWrangler. Clients and case contacts who use the portal are not seats. Do we need to change how we use Gmail, Calendar or Drive? No. TaskWrangler installs as Google Workspace add-ons and reads and writes your existing Gmail, Calendar and Drive. Documents stay in your Drive. Mail stays in Gmail. Deadlines appear on the Google Calendar you already use. Does it work with every Google Workspace edition? The add-ons work with any Google Workspace edition. For automatic calendar deadline sync, your Workspace administrator approves calendar access once in the Google Admin console. There is nothing to install and no key file. Does TaskWrangler use Zapier or another connector? No. The Gmail, Calendar and Workspace add-ons call TaskWrangler directly using the signed-in user's Google identity. Failures are shown on the affected record rather than in a third-party dashboard. Which AI models does Counsel use, and where does the data go? Counsel runs on Anthropic's Claude models (Opus 5, Sonnet 5 and Haiku 4.5), called from TaskWrangler's servers in Google Cloud. Document search uses Google's embedding model. A firm must accept the data-handling disclosure before Counsel will run at all, and a privilege screen runs on your device before content leaves it, then again on the server. Can Counsel file, send or docket anything on its own? No. Every Counsel output is a proposal in a review queue. A named person accepts it before it becomes a task, deadline, time entry, document or email. Deadline dates are calculated by rules, not guessed by the AI. Is there an AI assistant for clients in the portal? No. Counsel is available to firm staff only. Does TaskWrangler do three-way trust reconciliation? TaskWrangler includes trust accounts, trust transactions, a trust audit log, nightly balance checks and bank reconciliation with Plaid feeds. Counsel adds a read-only three-way check and reconciliation-gap explanation for firms on the AI plan. Your bookkeeper still reviews and signs the reconciliation. Can we migrate from Clio, MyCase, PracticePanther or Smokeball? Yes. Matters, clients, tasks and time entries are loaded from your export with our import tools, and email history is imported per thread from Gmail. Your documents already live in Drive, so they do not move. Onboarding includes a guided migration. Does it work offline? The iOS, Android, macOS, Windows and Linux apps keep a local cache for reading when the connection drops. The web app requires a connection. Is TaskWrangler SOC 2 certified? Not yet. TaskWrangler runs on Google Cloud and Firebase, which hold their own certifications. TaskWrangler itself has not completed a SOC 2 audit and does not claim one. Security controls that are in place are documented on the Security page. Where is our data stored? In Google Cloud data centers in the United States. Your documents remain in your Google Drive and your mail in Gmail. TaskWrangler stores records, links and search indexes. How does TaskWrangler help with professional-responsibility obligations? It gives you firm-level data isolation, role-based access, two-step sign-in, audit trails, firm consent before AI use, privilege screening and a review queue so a lawyer supervises every AI output. Whether a particular workflow satisfies your jurisdiction's rules is your firm's judgment; the Security page lists the rules most firms consider and how TaskWrangler's controls relate to them. --- # Videos: TaskWrangler Walkthroughs | TaskWrangler.ai URL: https://www.taskwrangler.ai/videos/ Home › VideosVideos # See TaskWrangler at work Short walkthroughs of real screens, one everyday problem each. Every video has captions and a full transcript. Please note. Recorded in September 2026 in a demonstration firm, Granite Ledge Law PLLC. Every firm, person, matter, message and dollar amount shown is fictional, and the narration is computer-generated. TaskWrangler is under active development: features, screens and wording are subject to change, and the current release may differ from what these videos show. AI output in the videos is a first draft for attorney review, not legal advice. ## Your day, in one place The morning briefing, the free time between meetings, and every court date at risk, on one screen before you sit down. Download the video (MP4) 1:34 · Recorded September 2026 in a fictional demo firm. Features are subject to change. Transcript Every morning, before you sit down, TaskWrangler has already read the firm's docket, your calendar and your client e-mail, and written you a briefing. Not a feed of notifications. A briefing. It tells you what matters today, in plain sentences, and links every matter it mentions. Court deadlines come first, oldest first. Two have passed: an answer the other side never filed, and an estate inventory the firm owes the court. Then the work that leads up to what's coming: the affidavit a client still owes, the pretrial statement being drafted, and the date it has to be filed. It reads your calendar and ties each appointment to its matter: a call with the Lavoie executor about that late inventory, and an exhibit review with a divorce client before her final hearing. It reads client e-mail and portal messages for what was asked and what was promised, so nothing sits unanswered, and it shows what you're waiting on other people for. Every row acts: add a task for it, log time on the matter, see what to do about a missed date, or open the matter. And one timer, always visible. Start it on the task you're about to work on. It stays in the top bar on every screen, wherever the work takes you. Stop it, and the time becomes an entry on that matter, ready for review before it's billed. The morning is already sorted when you sit down. That's your day in TaskWrangler. ## The missed deadline When a court date slips, the matter opens a checklist: confirm it was missed, cure it, and meet the duties to the client and the firm under the New Hampshire Rules. Counsel drafts the motion as a proposal a lawyer reviews. Download the video (MP4) 1:41 · Recorded September 2026 in a fictional demo firm. Features are subject to change. Transcript Every firm misses a deadline eventually. What matters is what happens in the next hour. Here's how TaskWrangler handles it. The Lavoie estate. Its court deadlines sit at the top of the matter's tasks, and one of them has slipped: the inventory of the estate is overdue. Most software would show you a red number and leave it there. TaskWrangler opens a checklist. First, confirm it really was missed: check the court's docket, and whether anything was filed or extended. Then cure it, as quickly as the rules allow. And the part people put off: telling the client, checking whether the lapse puts the firm's interests against the client's, and notifying the malpractice carrier. The New Hampshire Rules of Professional Conduct, right where the mistake is. If the cure is a motion, Counsel, TaskWrangler's AI assistant, already knows the matter and the deadline. It drafts from the file: the estate, the court, the date that passed, and why. What comes back is a first draft for the attorney, with anything it could not verify marked. Nothing is filed until a lawyer says so. Now the same checklist on the other side of a case. In Merrimack Valley Builders against Sorensen, the firm is the plaintiff, and the defendant's answer is overdue. Because it's the other side that's late, the advice flips. This isn't a mistake to cure. The question is whether to seek a default, or to allow the other side more time. The same date means different things depending on whose side you're on, and TaskWrangler knows which side that is. That's how it handles a missed deadline. ## Waiting on someone Mark a task as waiting on a colleague, a client or an outside party. That person hears about it, and a client sees what is needed in the portal, not in the e-mail. Download the video (MP4) 1:39 · Recorded September 2026 in a fictional demo firm. Features are subject to change. Transcript Every firm has a pile of work that's stuck on someone else. In TaskWrangler, a task that waits, waits on someone by name. Here, the associate's review is waiting on Maria, the partner, for a day now. The chip says who, what's needed, and for how long. Move a card into Waiting on, and it asks who. The answers are stuck on the store's inspection log, and Priya, the paralegal, has it. Name her, and say what's needed. Priya is told right away. Cancel instead, and nothing moves. No task waits on nobody. Waiting on a client works the same way. In the Hartley divorce, the firm is already waiting three days on Susan for her financial affidavit. The exhibit binder needs something from her too. Choose Client, and Susan. She has portal access, so she'll be told. The task and what's needed show only inside her portal. The e-mail says something is waiting, and nothing more. The demo firm sends no real e-mail; its messages land in the outbox instead. Here is the one Susan just got. Notice what it doesn't say: no matter, no task, nothing about her divorce. Client matters never travel by e-mail. And here is what Susan sees when she signs in. What's needed, from whom, and since when. Nothing gets lost in an inbox, and nobody has to chase. That's waiting on someone, in TaskWrangler. ## Messaging that stays private Secure client messages filed to the matter, and team conversations kept apart from them. Download the video (MP4) 1:08 · Recorded September 2026 in a fictional demo firm. Features are subject to change. Transcript Client conversations belong with the client's file, not scattered across people's personal inboxes. In TaskWrangler, they live in the firm's secure client portal. Every conversation is here, newest first, with unread messages marked. Here's Susan Hartley, a divorce client. Each message is tied to the matter it's about. A client can flag a message as a request. It shows up on the attorney's morning briefing until someone marks it handled. Replying works the way you'd expect. Sent it with a mistake? You can edit a message until the client has read it. After that it's fixed. The earlier wording is kept on the record, and the message says it was edited. From the conversation, her client file is one click away. Conversations inside the firm are separate. Team messages are for staff only, and never reach a client. Private client conversations, tied to the file, with a record of every change. That's messaging in TaskWrangler. ## Getting paid From invoice to payment link to card payment, matched in reconciliation, with the trust ledger showing which client needs to replenish. Download the video (MP4) 2:05 · Recorded September 2026 in a fictional demo firm. Features are subject to change. Transcript Getting paid is where a lot of practice software stops. TaskWrangler takes an invoice all the way to cash in the bank, and keeps the trust ledger clean on the way. Here's an invoice to the Whitaker Farm Trust for twelve thousand, seven hundred and fifty dollars, built from the attorneys' approved time and the filing costs. One click makes a secure payment link and e-mails it to the client, with card and bank transfer both accepted. The demo firm sends no real e-mail. Every message lands in its outbox instead, so we can see exactly what the client received. This is the e-mail the trustee sees, with a button to pay. The button opens the firm's own payment page. In the demo nothing is charged, but the page and the records it creates are the real ones. The client pays by card or bank transfer, here with a test card. Back at the firm, the invoice is marked paid, the payment is recorded, and the journal entry is posted, without anyone typing it in. Card payments that come in through LawPay, from the pay page or anywhere else, are matched to their invoices here. This is the trustee's charge. It already matches the payment we just recorded, so it is reconciled, not entered twice. Trust money is kept client by client. Every ledger shows what the firm holds for that client, and one that has fallen below the retainer the engagement requires is flagged, with a request to replenish it one click away. Each ledger records its deposits and disbursements, and trust money pays an invoice only when the invoice has earned it. And the firm's picture on one page: what's been billed, what's been collected, and what's still owed. From approved time to money in the bank, with the trust ledger clean the whole way. That's getting paid in TaskWrangler. ## From inquiry to client: the Front desk Every potential client has an owner, a next step and a gate: intake, conflict check, consultation, engagement letter and retainer, before anyone becomes a client. Download the video (MP4) 3:45 · Recorded September 2026 in a fictional demo firm. Features are subject to change. Transcript Every firm loses time at the front door. An inquiry comes in, someone reads it, someone else checks for conflicts, and the engagement letter goes out days later. In TaskWrangler, all of that happens on one page: the Front desk. It's the firm's intake desk: new inquiries, prospects, new clients, and the small jobs around them. Anything marked with a lock needs an attorney. Everything else, an assistant can handle. Brendan Kearney filled in the firm's website form three hours ago, about a fence his neighbour built on his land. Counsel, the firm's AI assistant, has already read it and written a first evaluation. It's waiting for a lawyer's decision, and nobody owns it yet. So I take it. By default I see my own work and anything unassigned, so nobody drowns in everyone else's. Switch to everyone, and the whole desk is here, with an owner on every row. First, the prospects the firm has already said yes to, each with its next step. Then the clients who signed in the last two weeks. Mail from people who aren't clients yet, still to be filed. And consultations still to be booked. Chasers: scheduling e-mails already drafted, ready for the front desk to review and send. And the housekeeping: time entries waiting for an attorney's approval, and records requests to follow up. Let's open Brendan. There's one page per potential client: what he told us, where he came from, and who owns it now. These are his own words, straight from the website form. Nobody retyped anything. Underneath is Counsel's evaluation: a recommendation, how confident it is, and scores for practice fit, value, urgency and risk. It's a first read for the attorney, not a decision. The automatic conflict pre-check found no match. It's labelled preliminary: the firm still records a formal check before going further. Accepting him doesn't make Brendan a client. It makes him a prospect, with a checklist to finish first. Five things stand between a yes and a client: the conflict check, the consultation, the engagement letter going out, the letter coming back signed, and the retainer in trust. The conflict check searches the firm's clients, matters, earlier intakes and contacts, for Brendan and for his neighbour on the other side. No matches. Recording the result takes one click, and the checklist ticks itself. Here's the whole pipeline, stage by stage. Every card shows how long it has been sitting there, whether conflicts are cleared, and where the engagement letter stands. Ridgeline Outfitters has cleared conflicts and had its consultation. The engagement letter is out for signature. So it can't become a client yet, and the button says exactly what's left: the signed letter, and the retainer. The software won't open the file until both are in. Owen Pratt signed three days ago. When his signed letter came back, his matter opened on its own, with the conflict check, the consultation and the letter already on the record. Not every intake is this clean. Denise Tremblay wants her parenting plan changed. A Roger Tremblay was on the other side of a case the firm handled in 2021. It may or may not be the same man. The software finds the name. Deciding what it means is a lawyer's call, so only an attorney can clear the conflict, waive it, or decline the matter. One desk, from the first e-mail to the signed engagement. Nothing retyped, every step owned, and the decisions that matter left to a lawyer. That's the Front desk in TaskWrangler. ## On a phone The whole app at phone width: the briefing, matters, a matter and billing. Download the video (MP4) 0:47 · Recorded September 2026 in a fictional demo firm. Features are subject to change. Transcript TaskWrangler works on a phone as well as it does at the desk. This morning's briefing is right here, between hearings. Every section sits along the bottom, one tap away. Nothing is hidden behind a menu. Matters open most urgent first: the court date at risk, what's overdue, and who's on it. Open one, and the whole file is there, with one thumb. Billing, too: what's been billed, what's been collected, and what's still owed. And the timer rides along at the top of every screen, so time at the courthouse is captured when it happens, not reconstructed at the end of the week. Desk or phone, it's the same firm, in your pocket. That's TaskWrangler on a phone. ## What AI does at intake Counsel reads an inquiry e-mail, scores it, runs a conflict pre-check, flags a limitations problem and drafts a reply. A lawyer makes every decision. Download the video (MP4) 3:10 · Recorded September 2026 in a fictional demo firm. Features are subject to change. Transcript The most expensive half hour in a law firm is often one nobody bills: reading a new inquiry, deciding whether to take it, and writing back. This is where Counsel, TaskWrangler's AI assistant, does the first pass, and a lawyer still makes every decision. Heather Lindqvist writes in about her mother's estate. The inbox spots that it reads like a request for a lawyer. That part is a simple rule, not AI, and it only looks at the subject line and the preview. One click turns the e-mail into an intake. Her name and address are already filled in. I add what she told us about the estate. It's a probate matter, and I'm the responsible attorney. Save, and Counsel starts reading. Her message is handed to the model as material to assess, never as instructions it should follow. It takes a few seconds. What it writes is the first read an attorney would otherwise write by hand: what she's asking for, whether it fits the firm, and what to ask her next. The full evaluation has the reasoning: the key issues, the next steps, and whether a deadline might be running, marked for the lawyer to verify. And it says plainly what it is: an AI triage for attorney review. The formal conflict check still has to be run and recorded. Even the reply to Heather is drafted, with the language that says we don't represent her yet. It isn't sent. A person reads it first. The intake that matters most can be the one you turn down. Kevin Lusk wanted to sue the employer who fired him. The firm declined him in September. Counsel recommended declining: employment law isn't the firm's work. And it noticed that he was fired more than three years ago, so the three-year limit for his claim may already have passed. It said the letter turning him down should warn him that time limits apply and that he should see another lawyer promptly, without giving him advice. That letter is what protects the firm. Some drafts need no lawyer at all. A scheduling e-mail is marked logistical, so the front desk can review and send it. Anything with legal content is marked substantive, and waits for an attorney. Once a prospect is accepted, Counsel drafts the engagement letter from the firm's own template and what the intake already says. The Holloways are a married couple planning together. While it works, it looks up the matter, the template and the fee terms. Joint representation of spouses has its own rules, and a good draft says so. What comes back is a proposal, not a letter. It lists what it assumed, and anything it cited, for the lawyer to check. Nothing is filed or sent until a lawyer accepts it, and an assistant can't accept it at all. The first read, the first reply and the first draft, in minutes, with every decision still made by a lawyer. That's Counsel at intake, in TaskWrangler. --- # Request a Demo | TaskWrangler.ai URL: https://www.taskwrangler.ai/demo/ Home › Request a demoDemo # Request a demo Thirty minutes in a sandbox firm, inside Gmail and Google Calendar. A person answers, usually within one business day. ## Contact Email info@mattermouth.com with your firm name and what you were trying to do. Include a screenshot of any error card from the add-on if you have one. ## Installing the add-ons - Install TaskWrangler from the Google Workspace Marketplace, individually or for your whole domain from the Admin console. - Open any email in Gmail and click the TaskWrangler icon in the right-hand panel. Approve the requested permissions once. - Sign in to the TaskWrangler app with the same Google account. Your firm administrator invites you first. ## Common questions The add-on says it needs re-authorization Click "Check Google access" on the card. It lists which permissions are missing. Individual installs: remove and reinstall the add-on. Domain installs: your administrator re-approves it under Apps → Google Workspace Marketplace apps. An import stopped partway through a long thread Expected. Gmail limits how long an add-on action can run, so long imports pause and offer "Continue Import". Press it until it finishes; nothing is duplicated. "This case has no Drive folder yet" The messages were imported; attachments were not. Connect a Drive folder to the matter in the app, then run the import again and it will pick the attachments up. How do I remove TaskWrangler's access to my Google account? Visit myaccount.google.com/permissions and remove TaskWrangler, or ask your Workspace administrator to uninstall it for the domain. ## Documentation - What TaskWrangler does - How the Google Workspace integration works - Counsel AI - Security and data handling - Privacy Policy · Terms of Service - What changed recently Data requests, including deletion of Google user data stored in TaskWrangler, go to the same address and are logged and reviewed by an administrator. --- # Privacy Policy | TaskWrangler.ai URL: https://www.taskwrangler.ai/privacy/ Home › Privacy PolicyPrivacy # Privacy Policy How MatterMouth collects, uses and protects information when your firm uses TaskWrangler.ai, including what happens with data from Google Workspace. Draft for review. This privacy policy was prepared from the notice that ships inside the TaskWrangler application and from how the product actually handles data. MatterMouth should review it before relying on it. Effective date and version are shown at the end. ## Who we are TaskWrangler.ai is operated by MatterMouth ("we"). Contact: info@mattermouth.com. TaskWrangler is law practice management software used by law firms ("firms"). Each firm controls the data it enters; we process it to provide the service. ## Information we collect - Account information. Name, email address, firm, role and sign-in identifiers from Google Sign-In or email and password. Phone number if you enroll in two-step verification. - Firm records you enter. Matters, clients, contacts, tasks, notes, time entries, invoices, trust and accounting records, agreements and messages. - Google Workspace data you choose to connect. See "Google user data" below. - Payment and banking data through processors. Card and bank payments are processed by LawPay; bank feeds by Plaid. We store transaction records and processor identifiers, not full card numbers. - Usage and diagnostic data. Sign-in events, feature usage, error logs and, on the marketing site, Google Analytics with IP anonymization. ## Google user data TaskWrangler's Google Workspace add-ons and the web application request access to Google services only for the action you choose, and use that access as follows. - Gmail. When you open a message with the add-on, we read the sender, recipients, subject and body to identify the client and matter and to show related work. When you link or import a message or thread, its content and attachments are stored on the matter you select. We do not read mail you have not opened with the add-on, and we do not send mail from the add-on. From the web application, with your separate permission, you can send email through your own Gmail account. - Google Calendar. We create, move and remove deadline events on the assignee's calendar for tasks with due dates, and read event details you open with the Calendar add-on to link them to a matter. - Google Drive, Docs, Sheets and Slides. We store attachments and documents in the matter's Drive folder you designate, read documents you choose to analyze or use as templates, and create documents, spreadsheets and presentations you ask for. Your files stay in your Drive. - Google Contacts. We search, read, create and update contacts when you use the contacts features. - Identity. Your Google email address and identity token verify who you are and which firm you belong to. Limited Use disclosure. TaskWrangler's use and transfer to any other application of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data for advertising, do not sell it, and do not allow humans to read it except with your permission for support, for security purposes, or where required by law. ## Counsel AI If your firm enables Counsel, content you choose to analyze (documents, correspondence, notes and matter records) is sent to Anthropic, PBC to generate the requested output, and document search indexes are generated with Google's embedding models. Counsel does not run until an administrator at your firm accepts the data-handling disclosure inside the application. A privilege screen runs on your device before content is sent. Conversation transcripts are retained for the period your firm sets and then deleted. We do not use your content to train models. ## How we use information - To provide, secure and support the service and the features your firm uses. - To send transactional email your firm configures: task assignments, summaries, invoices, statements, portal notifications. - To respond to demo requests and support questions. - To comply with law and enforce our terms. ## Sharing We share data with service providers who process it for us under contract: Google Cloud (hosting, database, storage, authentication), Anthropic (Counsel AI, when enabled), LawPay and Plaid (payments and bank feeds, when enabled), and an email delivery provider for transactional mail. We do not sell personal information. We disclose information when required by law or to protect rights and safety. ## Storage and security Data is stored in Google Cloud data centers in the United States and encrypted at rest and in transit. Each firm's data is isolated from every other firm's. Access is role-based, two-step verification is available, and administrative actions are logged. See our security page for what we do and do not claim. ## Retention and deletion We retain firm records for as long as the firm's account is active and as required by law. Firms can request deletion of records or the whole account; requests are logged and reviewed by an administrator before data is removed. Counsel transcripts follow the firm's retention setting. Google user data stored on a matter is deleted when the matter, the record or the account is deleted, or when you revoke the add-on's access, subject to backup cycles. ## Your choices - Revoke TaskWrangler's Google access at any time at myaccount.google.com/permissions or through your Workspace administrator. - Update your contact details in the application or the client portal. - Email info@mattermouth.com to access, correct or delete information, or to ask a question. ## Children TaskWrangler is a business service and is not directed to children under 16. ## Changes We will post changes here and update the effective date. Material changes affecting Google user data will be notified to firm administrators. Effective 2026-10-07. Version 1.0 (draft). --- # Terms of Service | TaskWrangler.ai URL: https://www.taskwrangler.ai/terms/ Home › Terms of ServiceTerms # Terms of Service The agreement between MatterMouth and firms that use TaskWrangler.ai. Draft for review. This terms of service was prepared from the notice that ships inside the TaskWrangler application and from how the product actually handles data. MatterMouth should review it before relying on it. Effective date and version are shown at the end. ## Agreement By using TaskWrangler.ai, the Google Workspace add-ons or the client portal, you agree to these terms and to the usage policies set by MatterMouth ("we"). If you use the service on behalf of a firm, you represent that you are authorized to bind it. ## The service TaskWrangler is software for managing a law practice. It is not a law firm and does not provide legal advice. Counsel AI produces proposals for a lawyer's review; the firm remains responsible for every record it accepts, every filing, every deadline and every communication with clients and courts. ## Accounts, seats and trial Subscriptions are priced per staff seat as published on our pricing page or in your order form. Each staff member is either a Practice seat or a Counsel AI seat, and seat changes are prorated. Client portal users are not seats. New firms receive a 14-day free trial; a payment method is collected at sign-up and the first charge occurs when the trial ends unless you cancel first. You are responsible for keeping credentials secure, enabling two-step verification where appropriate, and for all activity by your users. ## Referral program A firm that signs up using your referral code receives one additional free month. When that firm completes its first paid billing period, you receive a one-time credit of $49 per seat it is paying for, applied to your future invoices. Credits have no cash value, are not transferable, and may be withheld where we reasonably believe a referral is fraudulent or self-referred. We may change or end the program with notice; earned credits are honored. ## Acceptable use Use the service for lawful business purposes. Do not attempt to access another firm's data, interfere with the service, reverse engineer it, or use it to send unsolicited communications. Counsel AI must be used in accordance with your rules of professional conduct and the provider terms we pass through to you. ## Your data You own the records you enter. You grant us the rights needed to host, process and display them to provide the service. Documents in your Google Drive and mail in Gmail remain in your Google account under Google's terms. Our handling of personal information is described in the Privacy Policy. ## Third-party services Google Workspace, LawPay, Plaid and Anthropic are governed by their own terms. We are not responsible for their availability or for changes they make that affect the service. ## Fees, late payment and cancellation Monthly plans renew monthly and may be cancelled at any time, effective at the end of the billing period. Annual plans are billed in advance and are non-refundable except as required by law. We may change prices with at least 30 days' notice before your next renewal. Applicable sales tax is added at checkout. If a payment fails we will retry it and notify your administrator. If the balance remains unpaid 14 days after the first failure, the account enters read-and-export mode: users can sign in, read all records and export data, but cannot create or edit records until the balance is paid. We never delete a firm's records because of non-payment. After cancellation or termination for non-payment, read-and-export access continues for 90 days, after which we will contact you before archiving the account. ## Availability and changes Features may evolve. We may update functionality to improve reliability, security and capability, and will give notice of changes that remove functionality your firm relies on. We aim for high availability but do not guarantee uninterrupted service. ## Warranty and liability The service is provided "as is" to the extent permitted by law. We are not liable for indirect, incidental or consequential damages, or for missed deadlines, filings or professional obligations. Our total liability for any claim is limited to the fees you paid in the twelve months before the claim. ## Termination Either party may terminate for material breach after notice and a reasonable opportunity to cure. On termination you may export your records; we will delete them after a reasonable period on request, subject to legal retention obligations. ## Governing law These terms are governed by the laws of the State of New Hampshire, without regard to its conflict-of-law rules, and disputes will be brought in the state or federal courts located in New Hampshire. ## Contact info@mattermouth.com Effective 2026-10-07.
